What is Workday?

Workday is a modern, cloud-based system that unifies human resources, financial management, and student information into a single, integrated platform. It combines a wide range of functionality across HCM (Human Capital Management), finance, and student services - all in one place.

As a self-service tool, Workday gives faculty, staff, and students easy, real-time access to the information they need. It streamlines processes, reduces manual work, and supports faster, more strategic decision-making. By adopting Workday, NKU will enhance operational efficiency and elevate how we serve our campus community.

Human Resource Tasks

  • Recruit, hire and onboard new employees
  • Check pay stubs, tax elections, W-2 forms
  • Enter time and view timesheet (hourly employees)
  • Submit time off request and view time off balance

What is Workday replacing?

One of the key benefits of Workday is the power of one unified system. This means some of the systems you are used to using may be changing. The table below lists systems impacted in Phase 1 of the Workday Implementation focused on HR and Finance tasks. Phase 2 will focus on Student processes.

Please note, this is an iterative process, and the list will be updated as new information is available.

SAP

All HCM and Finance components of SAP will be replaced by Workday, including:

  • Finance (Travel Expense Reimbursements, Requisitions, Budget Management)
  • Human Resources (Payroll, Benefit Selections, View Paystub, Time Management)
  • Business Warehouse (BW - Bex Web Analyzer)
  • Student Life Cycle Management (SLCM) after Phase 2 Student Workday implementation

Kronos (Physical Time clocks)

Time will be tracked in Workday and entered in kiosks and mobile app

PeopleAdmin

All new recruiting and hiring will done in Workday

TalentEd

Talent management and training functionality will transition to Workday
(access ended as of Friday, June 27, 2025)

Payment Works

(Vendor Onboarding) Streamlined procurement will be done in Workday
